Job Summary:
We are looking for an organized and friendly Childcare Administrator to manage the front office of our nonprofit childcare center. This role is crucial in creating a welcoming environment for children, parents, and visitors while efficiently handling administrative duties.
Key Responsibilities:
- Serve as the first point of contact; greet and assist parents, guardians, and visitors in a professional and friendly manner.
- Manage incoming calls, emails, and inquiries, providing accurate information regarding center policies, programs, and availability.
- Handle registration and enrollment processes, including managing waitlists and scheduling tours.
- Maintain up-to-date records of children’s files, including emergency contacts, health information, and permissions.
- Coordinate with childcare providers to relay important messages or schedule appointments.
- Oversee administrative tasks such as data entry, filing, and managing office supplies.
- Assist in the preparation of reports, documentation, and communication materials for parents and staff.
- Support the implementation of center policies by ensuring compliance with state regulations and internal guidelines.
- Facilitate billing and payment processes; manage accounts receivable related to childcare fees.
- Participate in staff meetings to discuss center operations, policy updates, or special events.
Requirements:
- High School Diploma or equivalent; further education in business administration, early childhood education, or a related field is a plus.
- Proven experience in an administrative or customer service role, preferably in a childcare or educational setting.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills to interact effectively with children, parents, and staff.
- Proficient in using office software (e.g., Microsoft Office Suite, Google Workspace) and willing to learn specialized childcare management software.
- Ability to multitask and handle sensitive information with confidentiality.
- Must pass a background check and meet any state-specific requirements for working in childcare administration.
